Website terms and stay agreements

These terms explain how the website works. The Payment Authorization Form, Homeowners Lease and Base Crashpads Terms and Conditions Form cover the specific obligations for your stay.

01

Using Base Crashpads

These Website Terms govern use of basecrashpads.com and its account, listing, inquiry and coordination tools operated by Base Crashpads. By using the service, you agree to these terms. If you do not agree, do not create an account or submit a request; contact us if you need help with an existing stay. Our Privacy Policy explains how information is handled.

Base Crashpads is a private lodging business, independent of the Department of Defense and other government agencies. Information on the site is not government approval of a property, expense or travel arrangement.

02

Accounts and accurate information

You must have legal capacity to enter the agreements relevant to your use of the service and authority to act for anyone you represent. Use accurate contact information and keep your sign-in credentials and private document links secure. Contact us promptly if you suspect unauthorized use.

One account can be used for traveling, hosting or both. Switching modes does not change property ownership, the parties to an agreement or access to another person's private records. Do not impersonate another person or use someone else's account without authorization.

03

Inquiries, availability and offers

Submitting an inquiry requests assistance; it does not by itself reserve a property, authorize a card charge or create a lease. Published listings and estimated prices do not guarantee availability for your dates.

When you request a specific property, we check that home first. If its homeowner accepts the request under the applicable terms and confirms availability, that home is your match. If it is unavailable or the initial response window expires, we may invite other eligible homeowners and prepare alternative offers. General requests may enter that process directly.

The response and decision deadlines displayed for the request apply to that request. Alternative offers are reviewed by Base Crashpads before the traveler chooses. We may provide fewer than three suitable options or assist manually when availability is limited. A property selection remains subject to completing the required agreements and confirmation steps.

04

Homeowner responsibilities and bidding

A homeowner must have authority to offer the property and provide accurate property, occupancy, amenity, fee, photo and availability information. Complete the required profile and agreement details before the relevant submission or signing step. Listing approval is required before publication and does not replace the homeowner's responsibility for permits, insurance, safety, housing laws or required disclosures.

Submit bids within the posted rent and fee limits and only for a stay you can accommodate. Bids are blind to competing homeowners. A lower price may improve competitiveness, but property quality, suitability and the traveler's needs also affect selection. The displayed maximum is a limit, not a promise that a bid will be chosen.

Tell Base Crashpads promptly if availability changes after you respond or bid. The accepted bid supplies the agreed homeowner rent and fees for the stay, subject to the executed company agreement and any later agreed change. An older uploaded lease does not automatically override the accepted bid. These Website Terms do not introduce a separate bid-withdrawal fee.

05

The three stay agreements

A confirmed stay uses separate documents with different parties and purposes. Review the exact documents and any applicable property disclosures before signing. The signed documents govern the stay obligations they address and control over conflicting general website descriptions, subject to applicable law.

  • Payment Authorization Form: between the traveler and Base Crashpads, covering the traveler's authorization for the company to charge the agreed lodging amounts.
  • Homeowners Lease: between the homeowner and traveler, covering occupancy, property rules, care and use of the home. Homeowner payment provisions are handled in the separate company agreement.
  • Base Crashpads Terms and Conditions Form: between the homeowner and Base Crashpads, covering agreed rent, fees, payment arrangements and the parties' responsibilities.
06

Rates, benefits and external payments

Lodging rates may depend on location, travel dates and the allowance applicable to the traveler's assignment. Estimates, calculators and published government rates do not themselves establish reimbursement eligibility. The payment authorization and accepted stay documents describe how applicable rate changes are handled. Taxes, fees and deposits should be reviewed in the itemized offer and agreements.

Card charges, refunds and homeowner transfers are performed outside this website. Recording a payment here is an administrative confirmation; clicking a portal action does not itself move funds. Base Crashpads generates a paid receipt only after operations records the completed external charge and approves the receipt for release.

Only the benefits specifically included in your accepted offer are promised for that stay. A general example of cleaning, grocery benefits or other incentives is not an entitlement at every property. Accepted benefits and any disclosed occupancy conditions remain part of the agreed offer.

07

Changes, military orders and property issues

Request a date change, cancellation or other stay adjustment through the portal or company contact details as soon as practical. An ordinary request is not approved merely because it has been submitted. Applicable military-order protections, prorating and other termination rights are governed by the signed agreements and applicable law; these Website Terms do not waive them.

Report maintenance and access issues promptly. A homeowner may inspect after departure and submit a documented claim separately from checkout. A claim is subject to review and is not an automatic charge. For immediate danger or an emergency, contact the appropriate emergency service rather than relying on a portal ticket.

08

Photos, profiles and reviews

Only submit content you own or have permission to use. Do not include another person's private information, misleading property claims or material that violates their rights. You retain ownership of your content and give Base Crashpads permission to host, resize, display and otherwise use it as needed to provide the service and for the sharing purposes you authorize.

Public review publication requires the applicable sharing permission and company moderation. Feedback should reflect a real experience. We may restrict content that is fraudulent, abusive, unlawfully discriminatory, irrelevant or exposes private information. You can use available sharing controls or contact us to request a correction or removal; necessary private business records may remain.

09

Acceptable use and account restrictions

Do not interfere with the service, evade account or bidding restrictions, access another person's private information, submit malicious files, send spam, misrepresent payments or signatures, or use the platform for unlawful discrimination or other unlawful activity.

We may limit or suspend access when reasonably needed to investigate misuse, protect people or records, or comply with law. Where practical, we will explain the restriction and provide a contact for review. An account restriction does not by itself erase an executed agreement, a payment obligation or a right protected by law.

10

Guides, calculators and third-party services

Guides and calculators provide general planning information. Rates, gate access, facilities, tax treatment and local requirements can change. Confirm decisions with the appropriate installation, travel office, provider or qualified adviser. AI-assisted lease organization is a drafting aid reviewed by company operations; it is not an independent legal determination.

External websites, payment services, mapping tools and sign-in providers may have their own terms. We do not control their availability or every part of their operation. Let us know about a broken link, material error or interruption so we can investigate.

12

Your agreements and legal rights

We work to keep the website accurate and available, but cannot promise uninterrupted access or error-free information. This does not remove any commitment in your signed stay documents or exclude obligations and remedies that applicable law does not allow to be excluded.

These Website Terms do not impose mandatory arbitration, a class-action waiver or a new limitation on military, housing or consumer rights. Applicable law determines the rights and remedies for a dispute. If a provision cannot be enforced, the remaining provisions continue to apply to the extent permitted by law.

13

Questions and updates

For help with these terms or a concern about the service, contact basecrashpads@gmail.com or (515) 556-8376. Include the relevant request or property reference, but do not send payment-card details by ordinary email.

We may update these Website Terms by posting a revised version with a new effective date. Material changes will receive additional notice where appropriate. A website update does not retroactively rewrite an executed stay agreement; changes to that agreement require the process and consent applicable to it.
